Declaring for a Meet

Meet signups will be open at the start of the season but will close as we get close to each meet. We will remind you to "declare" (let us know if you are coming or not) for each meet prior to closing, but once it is closed we cannot enter your child into the meet since we have to exchange that information with the other team

If you have declared and plans have changed, please let us know asap that you will not be coming to the meet.

If you are a no-show to a meet you declared for without communicating, it is unlikely your swimmer will be placed in a relay for the remainder of the season. Please make every effort to show up if you have committed since other swimmers are relying on your child to be there!

Volunteers

In order to have a successful meet, each team is required to provide volunteers. There are various jobs to choose from and every family is required to volunteer at least 2 shifts during the season.

Swim Meet Communication

An email will be sent prior to each meet with specific times to arrive, time for warm ups and time that the meet will start, as well as location and any special instructions. Most pools will have concession snacks or meals. Arrival time is typically about 60-90 minutes prior to the listed meet time to allow for some set up and warm up time. Please be sure you are getting our emails at the start of the season so you receive this important information.

Relays

Relays are such a fun part of summer swim.  We are limited to the number of relays we can add to each meet.

Relays are created based on times and performance.

We thank you in advance for your support in this and the creation of relays is not taken lightly.

Prior to the Meet

An athlete roster and heat sheet specific to that meet will be sent out a few days prior. All up-to-date meet information can also be found on the SwimTopia App.

  • Review the Athlete Roster to find your swimmer’s information.
  • Write your tic-tac-toe on an arm or leg and last name on the back of the right shoulder with sharpie. The tic-tac-toe is the event, heat, and lane that your swimmer will be in so it reminds them. The coaches also use this to help your swimmer. Be careful when using sunscreen because it will remove the sharpie. Rubbing alcohol, chapstick, or sunscreen help remove the sharpie after the meet is over!

During the Meet

Swimmers will sit with their parents. Parents will need to pay attention to the event announcements to be sure their swimmer is at the start before their event. We will have ready bench volunteers to get the kids lined up in the appropriate place a few heats before their event. If a swimmer does not make it to the right place when it is their time to swim, they will likely will not be able to swim that event.

Leaving Early From a Meet

If you need to leave early for any reason, please let us know asap. If you know ahead of time you need to leave early, please let us know the week before as we are planning the meet.

There are relays for the first and last events of each meet so it is imperative that we know if your child is not planning to stay for the entire meet or if you will be arriving late.

If you have to leave due to an emergency, please let us know you are leaving so we can find a replacement for any relays.

Championships & All-Stars

At the end of the regular season, all swimmers who have competed in one regular season meet will be included in the Championship Meet. This meet is with teams around the area.

Swimmers are able to swim in any event they have a legal stroke in with an official time (not time trials time).

Swimmers who are in the top of their age group at Champs will be invited to an All-Star Meet.

The entire season will conclude by the first week of July.
